Technical Manager

Location: Leatherhead 

Job purpose:

Provision of all technical services including; liaison with client and client management; provision of design and production across all projects; presentation management and budgeting & financial control of projects ensuring maximization of potential new business whilst maintaining profitability.

Key responsibilities and accountabilities:


• Suppliers/Vendors – pre-meeting:

  • Research and identify appropriate suppliers to suit brief 
  • Manage vendor process, select, negotiate terms and manage appropriate suppliers
  • Review contractual terms and ensure all agreements are signed by both the supplier and the approver
  • Set up and attend site visits/demos/appraisals/new product introductions
  • Update suppliers of changes in specifications and legal or H&S requirements
  • Agree and approve payment of deposit schedules
  • Communicate supplier information (accom/transfer lists and function sheets) at the appropriate times
  • Monitor and confirm all subsequent changes prior to going on-site
  • Confirm budget approval/revisions and client sign off prior to event

• Suppliers/Vendors – on-site

  • Meet with and confirm all arrangements with individual suppliers
  • Ensure all updates/changes are communicated to suppliers continuously
  • Review invoicing/currency/exchange and local taxing procedure. Oversee financial direction and control of event
  • Ensure conformance to the agreed standards, regulations and guidelines for venues

• Suppliers/Vendors – post-meeting:

  • Ensure records are updated to reflect accurate tally with actual figures
  • Approve, check and arrange amendments to and payment of the final account
  • Communicate thanks/feedback on project services review to all involved suppliers

• Clients – internal & external – pre-meeting

  • Obtain accurate brief and communicate appropriately to team
  • Provide logistical, audio-visual and stage set design and theme & supply relevant information for the proposal
  • Review and feedback logistical & technical information for proposed venues and room use and highlight known areas of concern
  • Update and advise clients (internal & external) via status reports
  • Manage change and communicate solutions to clients
  • Ensure accurate on-site information is compiled and where appropriate, issue call-sheet with production schedule and load list, agendas, location maps, floor plan/set plots, logistics information etc.
  • Prepare and provide CAD/drawing package layouts for all project floor plans and venue plans

• Clients – internal & external – on-site

  • Manage change request and communicate implications
  • Ensure quality of service/meet client expectations

• Clients – internal & external – post-meeting

  • Control all production service applications and resource & maintain point of contact
  • Action any post-meeting queries
  • Build on-site relations with service providers
  • Debrief on the meeting with the project teams and prepare client communication where appropriate

• Finance – pre-meeting

  • Obtain information for and prepare budget proposal
  • Arrange deposit payments and communicate with client finance
  • Monitor and communicate significant amendments to budget
  • Carry out formal budget review prior to the event
  • Communicate and ensure payments are made in accordance with agreed deposit schedules

• Finance – on-site

  • Make on-site payments as appropriate (ie: local labour, etc.)
  • Manage on-site resources

• Finance – post-meeting

  • Obtain approval of final accounts prior to payment
  • Provide information to enable reconciliation process

• Management & development of team

  • Regularly review utilisation of resources and identify opportunities and forthcoming requirements
  • Identify, prioritise and implement development activities to assist in the delegation process within the team. (Applicable as and when team grows)

• Administration

  • Ensure project files are created and maintained
  • Ensure accurate project schedules are constructed and updated, as appropriate
  • Ensure accurate and timely completion of your site visit reports, timesheets and expense claims 
  • Review contractual terms and ensure all agreements are signed by both the supplier and the approver
  • Attend monthly Operations meetings at Head Office and communicate relevant information to the Communication team. Weekly call with Global Director of Production and Creative Services
  • Attend training where required at Head Office
